Description:

Currently looking for an IT Coordinator for a company Based in Dubai, Jebel Ali.

Project Coordination:

  • Support Project Managers in Onboarding project resources, monitoring the progress of projects, provide updates to stakeholders, planning & organizing project meetings, organizing reports.
  • Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored

Meetings Co-ordination:

  • Assist in processing meeting requests for team including setting up appointments, reserving conference rooms, requesting security pass for guests, arranging for teleconference numbers, refreshments, handouts, etc.
  • Schedule, facilitate and participate in recurring governance meetings as demanded by operational needs, document discussions as MOMs, publish and follow up on action items.

General Administrative Support:

  • General secretarial support in managing communication with different teams and stakeholders.
  • Assist team in general documentation, consolidation of responses to meaning full spreadsheets, preparation of slide decks for presentations etc.…
  • Manage stationery inventory and stock item consumables for the department and diligently follow the reorder process to ensure optimal use of provisions.

Procurement and Bills Payment:

  • Assist in creating Purchase Requisitions and liaison with procurement team to fulfill procurement processes including liaison with vendors for technical clarification meetings.
  • Content validation, Service Entries creation and following through approvals for timely payment of bills.

IT Specific:

  • Active participation in ISO20000:2018 implementation
  • Scheduling and facilitation of IT customer care meetings
  • Assistance in general data collection and updating different internal departments for upkeep record information such as skills matrix, on-board off-board plans, timesheets of different contract resources etc.

  • Proficiency with Microsoft Office tools
  • Hands-on experience with SAP – creating PR, SE, Material Request etc.…
  • Reasonable knowledge on IT Service Delivery Management practices.
  • Formal education or experience in ICT preferred.
