Description:

Amgen is seeking a highly organized and proactive Administrative Coordinator to support its global leadership team within the Rare Disease and broader business functions. The role plays a key part in ensuring smooth daily operations, efficient scheduling, and seamless coordination across multiple time zones in a fast-paced biotech environment.

This position requires a detail-oriented professional who can manage complex calendars, coordinate executive-level meetings, and support operational and administrative processes. The successful candidate will contribute to Amgen’s mission of serving patients by enabling leadership teams to operate effectively and efficiently.

Key Responsibilities:

• Manage complex executive calendars across multiple global time zones

• Coordinate domestic and international travel arrangements, itineraries, and expense reporting

• Support meetings, conferences, and events including logistics, setup, and coordination

• Organize congresses, leadership summits, off-site meetings, and team events

• Prepare meeting materials and ensure smooth execution of virtual and in-person sessions

• Maintain departmental records, distribution lists, and organizational charts

• Process purchase orders, invoices, vendor coordination, and related administrative tasks

• Track action items and follow up on commitments to ensure timely completion

• Support onboarding activities and cross-functional team initiatives

• Identify and support improvements in administrative processes and workflow efficiency

Requirements:

• 2–5 years of administrative or executive support experience preferred

• Experience supporting senior leaders in a fast-paced, matrixed organization

• Strong organizational and time-management skills

• Excellent written and verbal communication abilities

• Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)

• Experience with tools such as SAP, Concur, SharePoint, WebEx, and Microsoft Teams is an advantage

• Ability to handle confidential information with discretion and professionalism

• Strong interpersonal skills and ability to collaborate across teams
