Attention to young and passionate Executive Assistant who are looking for new challenges leading to growth! We are looking for an experienced UAE based candidate who will work as Executive Assistant cum Board Secretary with 70% to 30% occupancy at each role. This full-time and on-site role is based in Dubai, UAE and is for a MALE candidate.

As an Executive Assistant, you will:

Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.

Manage CEO’s calendar by ensuring seamless daily schedules and activities.

Prepare regular reports, such as expenses, minutes of meetings and communication materials.

Handle sensitive information with the utmost discretion, maintaining the highest level of confidentiality.

Board Secretary Role includes but not limited to:

  • Documenting the Board meetings and preparing their minutes, which shall include the discussions and deliberations that took place during these meetings, and place of these meeting as well as times and dates of their start and end.
  • Registering the Board resolutions and voting results and keeping them in a special and organized record, including the names of attendees and any expressed reservations (if any).
  • Notifying members of the Board of Directors of dates the Board meetings well in advance of the meeting date.
  • Submitting draft of the minutes to members of the Board to express their opinion thereon before signing it.

Qualifications and Requirements to the ideal male candidate:

  • Should have Bachelor’s degree in Business Administration or a relevant field
  • Proficiency in both Arabic and English
  • Excellent communication and organizational skills
  • Experience in office administration, PA to CEO, MD, COO or something similar
  • Demonstrated ability to prioritize and handle multiple tasks and projects simultaneously
  • Proficiency in Microsoft Office Suite, particularly in Excel and PowerPoint
  • Strong attention to detail and problem-solving skills
  • Proven experience of working with large, complex quantities of data with ability to present information in a concise and easy to read format
  • Electronic diary management
  • Must be familiar with legal terminology
