Hiring Leasing Administrator

Responsible for overseeing and tracking the leases of rental properties in a company’s portfolio.

Follow the leases of financial transactions, such as rents, sublease payments, renewals, taxes, and property expenses.

Core Responsibilities

  • Receiving phone calls, email, enquiries, and requests, and handling them in appropriate and professional manner.
  • Maintains proper documentation and computer-based information.
  • Prepare quarterly real estate market reports
  • Liaising with the staff in other departments and with external contacts.
  • Storing scanned copy of documents and computer-based information in the Group Property shared drive.
  • Photocopying and printing of property related documents.
  • Deals with letters and emails from internal and external clients.
  • Preparing monthly vacancy report to line manager.
  • Create, renew, terminate, tenancy contract (EJARI & Tawtheeq) through online system.
  • Preparing offer subject to contract (Heads of Terms) to inquiring tenants/ clients.
  • Collecting relevant data/ information and documents of tenants and inquiring clients.
  • Creating and assigning car parking contracts for tenants.
  • Collecting cheque payments (rent) from tenants.
  • Preparing cheques for deposit by filling up Cheque Deposit Form.
  • Processing registration of new tenant through liaising with Credit Control Department.
  • Sending renewal notices to the tenant prior to their lease expiry as per contract and law.
  • Preparing Contract Approval Form for every new and renewed Lease Contract subject for manager’s approval.
  • Preparing letters and memo, Issuance of Pro-forma Invoice
  • Updating “Master Lease” spreadsheet in Group Property shared drive.

Self-Management Responsibilities

  • Defines performance goals at the start of the year in discussion with the Line Manager and Development Manager and ensures that the goals are achieved during the year.
