Description:

Solace is seeking an experienced Executive Assistant to provide dedicated support to the Founder’s Office, including Co-Founders and C-suite leaders. The ideal candidate will act as a strategic partner, helping executives manage priorities, improve operational efficiency, and maintain strong organizational coordination.

This high-trust and high-visibility role requires exceptional organizational skills, strong judgment, confidentiality, and the ability to anticipate executive needs. The candidate will support executive operations, cross-functional initiatives, communications, travel coordination, and business activities within a fast-growing healthcare technology environment.

Key Responsibilities:

• Manage complex calendars across multiple time zones while prioritizing meetings based on urgency and strategic importance.

• Protect executive time by managing scheduling conflicts, requests, and priorities.

• Support leadership meetings, company events, team offsites, and executive planning sessions.

• Attend meetings when required, capture notes, track decisions, and ensure follow-up on action items.

• Draft and manage executive communications with professionalism and clarity.

• Act as a communication bridge between executives, internal teams, external partners, vendors, and stakeholders.

• Review, summarize, and escalate important updates, risks, and business information while maintaining confidentiality.

• Support leadership operating routines through agenda preparation, documentation, and action tracking.

• Develop systems, templates, and processes to improve executive productivity.

• Manage travel arrangements, itineraries, reservations, and expense reporting.

Requirements:

• 3+ years of experience supporting senior executives, preferably VP or C-suite leaders in a fast-paced environment.

• Excellent project management skills with strong execution and follow-through.
