Job Title: Sales and Logistics Administrator

Responsibilities:

 1. Invoicing and Billing:

  • Manage the invoicing process for after-sales transactions, ensuring accuracy and timeliness in generating invoices for products and services rendered.
  • Coordinate with the finance department to reconcile payments, resolve billing discrepancies, and ensure prompt payment collection from customers.
  • Maintain organized records of invoices, payments, and financial transactions for auditing and reporting purposes.

2. Logistics Administration:

  • Oversee logistics operations related to after-sales service, including coordinating shipments, tracking deliveries, and managing documentation for customs clearance.
  • Collaborate with freight forwarders, customs brokers, and transportation providers to ensure smooth and timely movement of goods across international borders.
  • Ensure compliance with customs regulations and import/export requirements, including the preparation of necessary documentation and declarations.

3. Customer Support:

  • Serve as a point of contact for after-sales inquiries and support requests, addressing customer concerns and providing timely updates on order status and delivery schedules.
  • Liaise with customers and internal teams to resolve any issues related to product returns, warranty claims, or service requests, ensuring customer satisfaction.

Requirements:

  • Previous experience in a similar role within the HVAC industry, with a strong understanding of after-sales processes and logistics operations.
  • Proficiency in managing invoicing and billing processes, with excellent attention to detail and accuracy.
  • Knowledge of customs procedures and regulations related to importing/exporting HVAC equipment and components.
  • Experience working with customs brokers, freight forwarders, and transportation providers to facilitate international shipments.
  • Strong organizational and communication skills, with the ability to multitask and prioritize tasks effectively.
  • Proficiency in MS Office applications (Word, Excel, and Outlook) and experience with ERP or accounting software is preferred.
