Description:

Outsourced is seeking a detail-oriented Administrative Assistant to support the delivery of allied health services through effective communication, scheduling coordination, and administrative management. This role is focused on maintaining smooth service operations by managing referrals, participant communication, and daily administrative processes.

The successful candidate will handle waitlist management, appointment scheduling, stakeholder communication, record maintenance, and operational support activities. This position requires strong organizational skills, professionalism, and the ability to manage multiple priorities while meeting service delivery standards.

Key Responsibilities:

• Manage assigned waitlists and ensure referrals are actively progressed on a daily basis.

• Contact participants and stakeholders through phone, SMS, and email while maintaining accurate communication records.

• Monitor delays, identify risks, and escalate unresolved matters to relevant managers and clinicians.

• Respond to enquiries within required timelines and provide regular updates until resolution.

• Coordinate schedules with clinicians, managers, funding requirements, and participant preferences.

• Maintain accurate participant records and support onboarding and intake processes.

• Collaborate with clinical and operations teams to improve service delivery.

• Maintain availability on the 8×8 phone system during working hours according to company requirements.

Requirements:

• Strong administrative and communication skills.

• Ability to manage multiple tasks and meet deadlines.

• Good attention to detail with accurate documentation skills.

• Experience with scheduling, customer support, healthcare administration, or coordination is preferred.

• Must have a minimum 20 Mbps internet connection.

• Ability to work Monday–Friday, 6:00 AM–3:00 PM PHT schedule.

• Strong knowledge of:

    • Administrative operations and record management

    • Customer communication and enquiry handling

    • Scheduling coordination and workflow management
