In this role, the Senior Executive Assistant will function as a trusted Client Advocate, managing day-to-day operations, optimizing workflows, and proactively supporting client needs. The position requires a highly organized, proactive, and detail-oriented professional who can deliver consistent excellence while maintaining confidentiality and professionalism at all times.

Key Responsibilities:

• Manage calendars, scheduling, meetings, and daily administrative tasks with high accuracy and zero conflicts

• Prepare agendas, documents, and meeting materials at least 24 hours in advance

• Handle email management including triaging, prioritizing, drafting, and responding within 24 hours

• Support operational efficiency by improving workflows, systems, and administrative processes

• Execute project tasks and client assignments with precision, ensuring deadlines are consistently met

• Identify potential issues proactively and resolve them before they impact timelines

• Maintain strong communication with internal and external stakeholders

• Coordinate multi-party meetings and projects with accuracy and professionalism

• Support relationship management by ensuring smooth communication and timely follow-ups

Key Requirements:

• Must be based in the United States (no international applicants considered)

• Minimum 5+ years experience as an Executive Assistant or in Operations

• At least 3+ years experience working remotely

• Strong proficiency in Google Suite and Microsoft 365

• Experience using multiple project management tools

• Ability to work independently and manage daily priorities effectively

• Excellent written and verbal communication skills

• Strong organizational, analytical, and problem-solving abilities

• Available Monday to Friday during business hours with at least 20 hours per week commitment

• Must be willing to commit for a minimum of 1 year
