This role plays a key part in supporting financial accuracy and operational efficiency within a fast-paced billing environment.
The Invoice Specialist I will be responsible for handling data accuracy, invoice validation, and coordination across multiple departments. The role requires strong analytical ability, attention to detail, and the capability to work with large datasets using Excel and internal systems. The position also involves collaboration with teams to resolve discrepancies and improve billing workflows.
Key Responsibilities:
• Compute, review, and perform quality control checks on invoices to ensure accuracy
• Learn and apply company-specific business rules to identify and resolve data inconsistencies
• Enter, validate, and analyze customer, financial, and technical billing data
• Convert and format data using Microsoft Excel and internal software tools
• Communicate professionally with clients, subcontractors, and internal teams via email and phone
• Track task progress and assignment stages using Monday.com
• Coordinate with different departments to resolve billing and data-related issues
• Assist in training new or entry-level team members when required
• Support workload distribution, prioritization, and coordination within the invoice support team
• Participate in team meetings and occasionally take a lead role in discussions
• Assist senior staff with ongoing projects, reporting, and operational tasks
• Help streamline and improve billing processes and workflows
• Direct clients and tenants to appropriate departments or contacts as needed
• Perform additional duties as assigned based on business requirements
Requirements:
• Associate Degree or equivalent from a technical school OR 1–2 years of relevant experience/training
• Strong computer skills, especially in Microsoft Office applications
• Advanced proficiency in Microsoft Excel (data handling, formulas, and analysis)
• Strong mathematical reasoning and problem-solving skills
• Ability to quickly learn technical systems and business processes
• Excellent communication skills (written, verbal, and listening)
• Strong attention to detail, accuracy, and organizational skills
