Description:
Help at Home is seeking a detail-oriented Scheduling Specialist to manage client and caregiver schedules while ensuring timely staffing coverage and continuity of care. This role requires strong communication skills, excellent organization, and the ability to handle multiple priorities in a fast-paced healthcare environment.
The successful candidate will coordinate schedules, maintain accurate electronic records, communicate with clients and caregivers, and help ensure quality service delivery while supporting the agency’s commitment to providing reliable home care services.
Key Responsibilities:
• Coordinate client and caregiver schedules by reviewing care plans, service requirements, and available staffing options.
• Fill open shifts with appropriate caregivers while ensuring the best possible client-caregiver match.
• Create, update, and maintain accurate schedules using scheduling software.
• Communicate regularly with clients and caregivers regarding service satisfaction, scheduling needs, and service delivery.
• Identify opportunities to support new client services through professional customer interactions.
• Participate in staff meetings and collaborate with supervisors and office teams.
• Perform administrative and clerical office duties as required.
• Monitor service concerns, complaints, incidents, and risks while communicating with the Care Team.
• Follow company policies regarding cybersecurity, privacy, and protection of sensitive information.
Requirements:
• High School diploma or GED.
• Minimum 2 years of previous work experience.
• Previous experience in homecare scheduling.
• Experience working with elderly and/or disabled individuals or a compassionate attitude toward supporting these communities.
• Strong time management and prioritization skills.
• Excellent attention to detail and accuracy in scheduling and documentation.
• Strong organizational skills with the ability to manage multiple cases and communications.
• Ability to resolve scheduling conflicts, cancellations, and last-minute changes effectively.
• Excellent verbal communication skills, especially over the telephone.
• Strong active listening and customer service skills.
• Persuasion and negotiation skills to encourage caregiver shift acceptance while maintaining positive relationships.
• Proficiency in Microsoft Office Suite, especially Excel, and scheduling software such as HHAeXchange or similar systems.
Strong knowledge of:
• Healthcare scheduling and caregiver coordination
• Microsoft Excel and scheduling software systems
• Client communication and service documentation
