Description:

VNS Health is seeking a detail-oriented Senior Medical Practice Assistant (Scheduling) to provide operational and administrative support for its affiliated medical practice, Medical Care at Home. This role focuses on coordinating patient care activities, supporting clinical teams, and ensuring efficient scheduling workflows while delivering excellent customer service.

The selected candidate will work closely with clinicians, patients, management teams, and healthcare partners to manage appointments, maintain accurate records, coordinate communication, and support daily medical operations. This position is ideal for professionals with healthcare administration or customer service experience who can manage multiple responsibilities in a fast-paced environment.

Key Responsibilities:

• Provide administrative support and information to clinical staff, management, patients, and their families.

• Respond to inquiries, document concerns, resolve routine issues, and escalate matters when required.

• Coordinate clinician schedules based on availability, patient needs, workflows, and geographic considerations.

• Maintain and update systems related to clinician workflows, availability, referrals, visit status, and location information.

• Prepare and send daily notifications to clinicians with patient details, demographics, locations, and relevant clinical information.

• Conduct outreach calls to referred health plan members and provide information regarding clinical services.

• Register patients in electronic medical records (EMR) systems and verify demographic, insurance, and contact details.

• Schedule, confirm, cancel, and reschedule patient appointments as needed.

• Support virtual visits by providing patients with portal instructions and access links.

• Assist with referral communications, patient follow-ups, and coordination with care managers or primary care providers.

• Support insurance eligibility checks and visit authorization processes.

• Maintain accurate documentation in electronic medical records with proper details, signatures, and dates.

• Prepare basic reports, data analysis, and support special projects as assigned.

Requirements:

• High School Diploma or equivalent required; Bachelor’s Degree preferred.

• Minimum 2 years of experience in medical office, general office, or customer service environments.

• Strong verbal, written, and interpersonal communication skills.

• Excellent customer service abilities with a patient-focused approach.

• Intermediate computer skills, including Microsoft Office applications.

• Ability to manage schedules, records, and multiple tasks efficiently.

• Bilingual skills may be required based on operational needs.
