Description:

Apex Systems is currently seeking an immediate hire for a Documentation Coordinator to support its Quality team in Cincinnati. The role focuses on managing supplier documentation, ensuring compliance, and maintaining accurate records within the organization’s quality documentation systems.

The selected candidate will be responsible for coordinating with vendors and internal stakeholders to request, review, and maintain updated documentation related to raw materials. This position plays a key role in ensuring data accuracy, compliance, and timely follow-ups across procurement and quality functions.

This opportunity is ideal for detail-oriented professionals who are comfortable working independently in a structured environment with strong documentation and coordination responsibilities.

Key Responsibilities:

• Send email requests to vendors for updated or missing supplier documentation

• Follow up with vendors to obtain accurate and complete documentation

• Review submitted documents for completeness and compliance requirements

• Maintain and organize supplier documentation databases

• Categorize and file documents based on predefined systems and metadata

• Track outstanding documentation requests and manage follow-up actions

• Escalate delayed vendor responses to procurement teams when necessary

• Ensure accuracy and consistency in documentation records

Requirements:

• Ability to work independently with minimal supervision

• Proficiency in Microsoft Excel, Outlook, and SharePoint

• Strong organizational and multitasking skills

• Excellent communication skills for vendor coordination

• High attention to detail and accuracy

• Ability to manage multiple documentation requests simultaneously

• Experience in quality or food safety documentation preferred
