Description:

QC Servion, the centralized operational support hub for the QC Ecosystem, is seeking an Administrative Associate to support multiple departments including human resources, program management, sales, administration, legal, accounting, and operations. This remote role provides an opportunity to work with organizations supporting the data center industry.

The Administrative Associate will provide essential administrative support, manage documentation, coordinate communications, and assist with company operations. The ideal candidate should be highly organized, adaptable, and capable of managing multiple priorities in a fast-paced remote environment while maintaining accuracy and confidentiality.

Key Responsibilities:

• Provide administrative support across multiple departments and company operations

• Process executive expense reports, including receipt collection, compliance reviews, and reimbursement coordination

• Manage digital files, update templates, maintain documentation, and organize project records

• Perform word processing, proofreading, spreadsheet management, data entry, and reporting tasks

• Monitor company email inboxes and phone messages while directing inquiries appropriately

• Assist with employee and client gift research and purchasing activities

• Support company training programs and conduct research as required

• Assist with travel arrangements, conference bookings, event coordination, and scheduling

• Support special projects and complete assigned tasks within deadlines and budgets

Requirements:

• Minimum of two years of experience in a professional office or consulting services environment

• Knowledge of administrative support functions, document management, and process improvement

• Strong ability to manage files, create templates, and maintain organized documentation

• Strong knowledge of:

• Microsoft Office Suite including Excel, Word, Outlook, PowerPoint, Teams, and SharePoint

• Adobe and Bluebeam software

• Database administration, analytics, and reporting

• Artificial intelligence, machine learning, and generative AI tools for workflow improvement

• Ability to analyze situations, solve problems, and make effective decisions

• Excellent written and verbal communication skills

• Ability to maintain confidentiality and handle sensitive information

• Strong organizational skills with the ability to manage multiple tasks and changing priorities

• Ability to work independently and effectively in a remote work environment

• Ability to meet deadlines and perform under pressure
