HireneXus has partnered with a clinical solutions company that provides clinical trial and laboratory supply chain services to pharmaceutical and biotechnology companies, contract research organizations (CROs), and diagnostic laboratories to add a Payroll Specialist to their HR team.
The Payroll Specialist will be responsible for managing the end-to-end payroll process, ensuring compliance with all federal, state, and local payroll laws. The Payroll Specialist will collaborate with the payroll vendors and coordinate across company Benefits, Human Resources, IT and Finance teams to ensure accurate and timely payroll processing. This position requires a detail-oriented professional with a strong understanding of payroll systems and practices, as well as excellent problem-solving and communication skills.
Role & Responsibilities
Experience with Workday and ADP are required.
Payroll Processing
- Collaborate with third-party managed services providers to ensure accurate and timely payroll processing for 850+ employees across multiple countries on a bi-weekly or monthly basis.
- Guarantee the correct and timely payment of wages, salaries, bonuses, and other compensation forms.
Vendor Collaboration
- Serve as the primary point of contact between the company and the third-party payroll provider, ensuring smooth communication and alignment to meet payroll needs.
Compliance
- Stay informed on evolving tax laws and payroll-related regulations.
- Work closely with the third-party provider to ensure full compliance with federal, state, and international payroll regulations, adhering to all legal requirements.
Data Management
- Maintain and update payroll records in collaboration with the third-party provider, including employee data, salary details, benefits, and deductions.
- Safeguard the confidentiality and security of payroll data at all times.
Reporting
- Review, distribute, and explain payroll-related reports to internal and external stakeholders.
- Assist in preparing financial statements and budget forecasts that pertain to payroll.
Issue Resolution
- Address and resolve payroll-related inquiries and discrepancies efficiently and professionally.
- Act as the main contact for resolving payroll issues, working closely with the third-party provider to ensure timely solutions.
Audit Support
- Coordinate with the third-party provider to gather necessary documentation for internal and external audits, ensuring full compliance and transparency.
Qualifications
Education and Experience:
- 5+ years of experience in payroll processing, ideally within a multi-state and multi-country environment.
- Extensive experience with ADP and Workday is required.
- Bachelor’s degree is required; degrees in HR, Accounting, Finance, or related fields are preferred.
- Certification in payroll (e.g., Certified Payroll Professional) is a plus but not required.
- Hands-on experience with multi-state payroll processing and tax regulations.
- Proven ability to thrive in a fast-paced, dynamic environment.
