Summary:
We are looking for an experienced Senior Benefits Specialist that can be a subject matter expert and serve as the point of escalation for issues and challenges related to our benefit and wellness programs. This role will work with all levels of our organization with the goal of collaborating with peers to solve problems and provide excellent customer service to our employees.
You will solve problems and uncover opportunities, with an eagerness to take ownership and accountability for the success of our HR Initiatives. You will ensure that all supported plans and programs are administered in compliance with plan documents, regulatory requirements, and meet established fiscal requirements.
Travel: Expectation is minimal, however, travel during open enrollment will be required.
Compensation: The base salary range for this position is $90,000 – $115,000 annually, depending on experience and performance. Please note that the base salary will vary based on geographic location, market conditions, and the candidate’s experience.
Responsibilities:
- Benefits Management: (60%)
- Assists with the entire life cycle of implementing benefits programs with internal team and external vendors. Leads user acceptance testing (UAT) and other related projects that come from continuous internal process evaluation.
- Ensures compliance of associated state and federal laws/regulations and mandatory record keeping through routine and ad hoc reporting as required. Performs routine and special audits according to department requirements. Identifies discrepancies and works with internal partners and Total Rewards Leader to provide solutions.
- Manages the administration of the 401K Program, including day-to-day questions and managing the annual 401K audit, compliance testing, the annual true up, and any administrative corrections. Provides necessary communication on audits and compliance testing to facilitate effective decision making.
- Serves as a subject matter expert to our internal HRIS partners regarding system updates, interfaces and customizations as identified.
- Document and maintain administrative procedures for assigned benefit processes.
- Schedule, coordinate and prepare communications for all benefit and wellness plans to further elevate employee understanding and appreciation of their benefits package.
- Compliance: (20%)
- Ensures compliance of associated state and federal laws/regulations and mandatory record keeping through routine and ad hoc reporting as required.
- Performs routine and special audits of benefit eligibility information. Identifies discrepancies and works with internal partners and Total Rewards Leader to provide solutions.
- Works with internal and external partners to ensure all benefit deductions, including arrears and refunds, 401K contributions, or payment of wage replacement are accurate. Audits system reports to ensure accuracy and takes necessary action to correct discrepancies.

- Performs related work and/or projects as apparent or assigned.
- Growth/Innovation: (10%)
- Stays abreast of industry trends and seeks out opportunities to apply innovative solutions to our benefit programs. Makes recommendations focused on delivering high-quality, cost-effective programs to address the benefit needs of our employees.
- Adopts a growth mindset by proactively evaluating internal processes and makes recommendations to ensure greater employee experience as we continually grow.
- Keeps Total Rewards leader informed of important developments, potential problems, and related information necessary for effective management. Coordinates and communicates plans and activities with others, as appropriate, to ensure a coordinated work effort and team approach.
- Train new Benefits and Leave Specialists on procedures for their assigned processes.
Required Skills:
- Bachelor’s degree in human resources or business administration.
- 5+ years of experience of hands-on Benefit and 401K administration
- You have experience in benefits provider negotiations and have comprehensive oversight and a deadline driven capability.
- You must have analytical and quantitative abilities with a focus on being accurate and complete within the designated time frames.
- Excellent organizational and time management skills
- Demonstrates proficiency in Microsoft Excel, Word, and PowerPoint.
- Hands-on experience working with Benefits Administration System or HRIS as a user and an administrator (Workday preferred)
- Strong customer service orientation. Demonstrated ability to interact effectively with all employee levels.
- Handles confidential information with the utmost judgement and discretion. And knowing what and when to escalate potential issues.
- Polished verbal and written communication skills to effectively, both orally and in writing, with a wide variety of customers, company personnel, and others.
- You have a working knowledge of federal and state benefits regulations and legislation (e.g. PPACA, ERISA, IRC, DOL, FMLA, ADAA, COBRA, HIPAA)
