Description:

The organization is currently seeking an experienced Invoicing Incharge to manage end-to-end invoicing operations within its logistics function in the MEA region.

This role is responsible for ensuring accurate, timely, and compliant invoicing processes, including billing, documentation, reconciliation, and financial control activities. The position plays a key role in maintaining operational efficiency, revenue accuracy, and strong coordination between logistics, finance, and warehouse teams.

Key Responsibilities:

• Manage end-to-end invoicing processes for logistics operations across the MEA region

• Prepare and issue automated and manual invoices for warehouse services including pick & pack and cross-docking

• Generate and process credit notes, debit notes, and invoice adjustments when required

• Ensure invoices are issued accurately and within agreed timelines

• Reconcile inbound and outbound shipment data against purchase orders and operational records

• Maintain accurate documentation within Warehouse Management Systems (WMS)

• Process Advanced Shipping Notices (ASN) for inbound and return shipments

• Verify billing data against contractual agreements, tariffs, and company policies

• Support month-end closing activities and financial reporting processes

• Investigate and resolve billing discrepancies in coordination with internal teams

• Ensure compliance with VAT regulations, customs requirements, and audit standards

• Collaborate with warehouse, logistics, finance, and customer service teams

• Support internal and external audits with accurate invoicing records

• Contribute to process improvement initiatives in billing and financial controls

Requirements:

• Bachelor’s degree in Finance, Accounting, Business Administration, Supply Chain, Logistics, or related field

• Minimum 3 years of relevant UAE experience in invoicing or logistics administration

• Experience in warehouse, logistics, or supply chain environments preferred

• Strong knowledge of WMS and ERP systems is an advantage

• Advanced proficiency in Microsoft Excel and reporting tools

• Strong analytical, reconciliation, and problem-solving skills

• Excellent organizational and time management abilities

• Ability to manage multiple priorities and meet strict deadlines

• Strong communication and stakeholder coordination skills

• High level of accuracy, attention to detail, and professionalism

Strong knowledge of:

• Invoicing, billing, and financial reconciliation processes

• Warehouse management systems (WMS) and ERP platforms
