Description:
ALA Group is seeking a proactive, highly organized, and professional Executive Secretary cum HR Administrator and Receptionist to join its team in Jebel Ali Freezone South, Dubai. Immediate joiners are highly preferred, and preference will be given to female Filipino (Kabayan) candidates.
This role combines executive secretarial support with human resources and administrative responsibilities. The successful candidate will assist management with scheduling, travel arrangements, HR operations, employee documentation, office administration, and coordination with internal departments and external authorities while maintaining the highest level of confidentiality and professionalism.
Key Responsibilities:
• Provide executive secretarial support by managing management calendars, appointments, and meeting schedules.
• Process international visa applications, including USA, UK, Canada, South Korea, Japan, and Schengen visas.
• Arrange business travel, including flight bookings, hotel reservations, and travel-related coordination.
• Handle registrations and memberships for conferences, exhibitions, and business events.
• Draft professional emails, reports, letters, and official correspondence.
• Screen incoming calls and visitors while handling confidential information with discretion.
• Maintain employee records, HR documentation, attendance, and leave records.
• Support recruitment activities by scheduling interviews and coordinating with applicants.
• Coordinate employee onboarding and induction processes.
• Process employment visas, renewals, cancellations, Emirates ID applications, and medical fitness appointments.
• Manage employee medical insurance enrollment, renewals, and claims.
• Assist the HR department with day-to-day HR-related activities.
• Ensure compliance with UAE Labour Law and company policies.
• Oversee office administration and daily operational activities.
• Maintain office supplies, stationery inventory, and coordinate with vendors.
• Coordinate schedules and assignments for company drivers.
• Process utility bill payments using company credit cards and maintain accurate payment records.
• Provide administrative support to management and staff to ensure efficient office operations.
Requirements:
• 2–5 years of UAE experience in HR, administration, or executive secretarial roles.
• Previous experience in HR administration, executive secretarial, or administrative positions.
• Excellent written and verbal communication skills.
• Strong organizational, planning, and time management abilities.
• Ability to multitask, prioritize assignments, and meet deadlines.
• Strong interpersonal, coordination, and problem-solving skills.
• High level of professionalism and confidentiality.
• Experience with HRMS or ERP systems is considered an advantage.
• Immediate availability to join is preferred.
