Description:
Veriforce is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the President, US & Global Expansion. This role will serve as a trusted partner, managing complex scheduling, executive communications, and cross-functional initiatives across U.S. and global operations.
The ideal candidate will have excellent organizational skills, strong judgment, and the ability to manage confidential information with complete discretion. This position offers an opportunity to work with a global team while supporting executive leadership in a fast-paced business environment.
Key Responsibilities:
• Maintain organized systems for documents, files, and records to ensure efficient executive office operations.
• Coordinate logistics for meetings, offsites, and executive events, including venues, catering, and materials preparation.
• Plan and manage domestic and international travel arrangements and itineraries.
• Schedule and coordinate internal and external meetings, leadership meetings, and team events.
• Prepare meeting agendas, presentations, briefing documents, and executive materials.
• Draft, proofread, and manage correspondence on behalf of the President.
• Prepare talking points, meeting summaries, and follow-up documentation.
• Track action items and ensure timely completion of assigned tasks.
• Support special projects and initiatives led by the President.
• Collaborate with internal teams and global offices to coordinate priorities and maintain alignment.
• Act as a liaison between the President’s office, executive leadership, clients, and Board members.
• Manage complex calendars across multiple time zones.
• Handle administrative tasks including reporting, travel coordination, and office support.
• Serve as the first point of contact for inquiries, calls, and executive requests.
• Support facility management activities, including scheduling maintenance, cleaning, and catering when required.
Requirements:
• Experience as an Executive Assistant or similar administrative role.
• Ability to handle highly confidential information with sound judgment and discretion.
• Excellent interpersonal, written, and verbal communication skills.
• Ability to communicate effectively with clients and board-level stakeholders.
• Exceptional organizational skills with strong attention to detail.
• Strong project management skills with the ability to manage multiple priorities.
• Proficiency in Microsoft Office, calendar management, and travel management tools.
• Bachelor’s degree preferred or equivalent professional experience.
