In this role, you will serve as a high-level Executive Assistant supporting senior leadership by streamlining operations, managing priorities, and enabling executives to focus on strategic impact. You will act as a trusted partner in handling complex scheduling, confidential communication, and cross-functional coordination in a fast-paced, mission-driven environment.

Key Responsibilities:

• Serve as a strategic partner to executive leadership by aligning time, priorities, and resources with organizational goals

• Manage complex executive calendars, resolve scheduling conflicts, and anticipate time-related challenges

• Prepare executives for meetings by organizing materials, summarizing context, and clarifying objectives and outcomes

• Track key initiatives and follow up on action items to ensure consistent progress across priorities

• Act as the primary administrative contact for the Board of Directors, coordinating meetings and communications

• Support planning and execution of meetings, offsites, and organizational events (virtual and in-person)

• Collaborate with internal teams to support high-impact projects and operational initiatives

• Coordinate travel arrangements and process expense reports accurately and efficiently

• Continuously identify opportunities to improve executive workflows, systems, and communication processes

• Maintain strict confidentiality and handle sensitive information with professionalism

Requirements:

• 5+ years of experience supporting C-level executives, preferably in nonprofit or mission-driven organizations

• Strong ability to prioritize, anticipate needs, and manage competing deadlines in a fast-paced environment

• Excellent organizational skills with strong attention to detail and time management

• Strong written and verbal communication skills across all organizational levels

• Proficiency in Google Workspace, Slack, Zoom, and modern productivity tools

• Ability to manage multiple responsibilities while maintaining discretion and professionalism

• Experience supporting executive operations, including scheduling, logistics, and event coordination

• Strong understanding and use of AI tools to improve workflow efficiency

• Strong knowledge of:
• Executive calendar management and scheduling optimization
• Meeting preparation and executive briefing processes
• Travel coordination and expense management
