KoBold Metals, a trailblazing company revolutionizing mineral exploration through AI and innovative sensor technologies, is seeking an experienced Executive Assistant to provide comprehensive administrative support primarily to the Chief People Officer. This fully remote role requires flexibility for occasional travel to Boston. The ideal candidate is highly proactive, organized, and capable of managing confidential information with discretion while streamlining administrative processes to enhance operational efficiency.
Key Responsibilities:
- Manage executive calendars, emails, travel arrangements, and reimbursements.
- Serve as a proxy in meetings, synthesize content, and identify actionable next steps.
- Develop process documentation, manuals, and reference materials for organizational use.
- Lead cross-functional projects, coordinating timelines, deliverables, and communication.
- Conduct confidential analyses and prepare reports for leadership.
- Build reusable tools, reports, templates, and frameworks for the company.
- Coordinate document handling, approvals, and signatures.
- Participate in process-mapping sessions, create workflow visualizations, and manage feedback.
- Act as a trusted liaison while maintaining discretion on sensitive matters.
- Support other departments and provide flexible administrative assistance as needed.
- Assist with special projects requiring multi-department collaboration and diverse skill sets.
Qualifications:
- 5+ years of relevant experience in executive support or people operations.
- High integrity and ability to handle confidential information.
- Strong project management and organizational skills with attention to detail.
- Proficiency with Google Workspace, Microsoft Office, and diagramming software (Lucidchart, Miro).
- Ability to create reports, templates, and tools using spreadsheets or similar applications.
- Flexible, adaptable, and proactive problem-solver.
- Excellent verbal and written communication skills.
- Willingness to become a notary within three months of employment.
- Valid driver’s license and authorized to work in the United States.
- Based in or willing to relocate to the Boston area.
