Description:
Geron Corporation is currently seeking a highly organized, proactive, and experienced Executive Assistant to provide full administrative support to Executive Vice Presidents and members of the C-Suite. This position plays a pivotal role in ensuring operational excellence by optimizing executive workflows, maintaining seamless coordination across departments, and managing sensitive and high-level information with utmost discretion.

This is a remote opportunity, with corporate headquarters based in Foster City, California, and Parsippany, New Jersey.

Key Responsibilities:
• Manage highly complex calendars, international/domestic travel logistics, and timely submission of expense reports for multiple senior executives
• Coordinate closely with other administrative professionals across departments to ensure aligned scheduling and communication
• Organize and facilitate meetings, including setting agendas, coordinating logistics (conference rooms, video calls, catering), and overseeing all related correspondence
• Support planning and execution of Board and Executive Management Committee (EMC) meetings, including preparing and distributing materials, managing logistics, and assisting in corporate recordkeeping
• Develop detailed itineraries and prepare documentation required for internal and external meetings, events, and off-site gatherings
• Maintain confidential documentation, particularly related to Board and executive leadership
• Anticipate executive needs and preferences, working proactively to avoid issues and ensure seamless support
• Assist with contract administration and coordinate contract signature processes
• Maintain and optimize use of administrative software tools to streamline daily operations
• Offer thoughtful recommendations to senior management on administrative improvements
• Serve as back-up for other Executive Assistants when needed

Core Competencies & Skills:
• Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
• Skilled in using tools such as Concur, Coupa, and Conga for managing expenses, purchase orders, and contracts
• Strong analytical, organizational, and critical thinking capabilities with meticulous attention to detail
• Effective communicator with excellent interpersonal and relationship-building skills
• Trusted to manage highly confidential and sensitive matters with integrity and professionalism
• Comfortable working across multiple time zones with a collaborative spirit
• Capable of handling multiple priorities in a fast-paced, deadline-driven environment
• Self-starter with a strong sense of initiative and ownership
• Willingness to be available after hours and on weekends as needed

Experience & Education:
• High School Diploma required
• Associate’s or Bachelor’s degree preferred
• Minimum of 10 years of experience in a similar role supporting senior-level leadership
• Prior experience in the biotechnology or pharmaceutical industry is strongly preferred

Compensation & Benefits:
The general salary range for this position is $120,000 to $130,000, dependent on skills, experience, and location.
