American Public University System (APUS) is seeking a detail-oriented Document Services Specialist I to support student enrollment and academic processing operations. This role plays a vital part in managing student records, reviewing admission documents, and ensuring accurate processing of academic files within the university’s digital systems.

The position involves handling both physical and electronic documentation, supporting transfer credit evaluations, transcript requests, program changes, and enrollment processes. This role requires strong attention to detail, organizational skills, and a commitment to maintaining accuracy and confidentiality in handling student records.

Key Responsibilities:

• Open, sort, and process incoming mail, transcripts, and student documents.

• Scan, index, and manage documents within the digital content management system.

• Review and update student files for admission and enrollment processes.

• Support transfer credit evaluations, program changes, and new program enrollments.

• Process transcript requests and communicate with external institutions when required.

• Validate and verify transcript data using OCR and internal systems.

• Maintain accurate student records in compliance with FERPA regulations.

• Monitor document logs to ensure completeness and accuracy of student files.

• Communicate with students and staff regarding document status and requirements.

• Assist in maintaining departmental service level agreements (SLAs).

Requirements:

• High school diploma or equivalent required.

• Some college education preferred.

• Experience handling administrative records or documentation required.

• Strong attention to detail and accuracy in data handling.

• Basic proficiency in Microsoft Office (Word, Excel, Access).

• Experience in customer service preferred.

• Ability to manage multiple tasks and meet deadlines.

• Strong written and verbal communication skills.

• Ability to work independently in a remote environment.
