Overview:
Lewallen Architecture LLC is looking for a meticulous Document Control Clerk to support our project teams from a remote location. You’ll be responsible for organizing, tracking, and distributing project documents so that design and construction activities proceed smoothly and audit trails remain accurate.
Key Responsibilities:
• Organize, index and maintain project documentation — drawings, specifications, submittals, correspondence and related files — using digital document systems.
• Track revisions and version histories to ensure teams access only current, approved documents.
• Distribute updated documentation to architects, consultants, contractors and clients; manage routing and access across remote and on-site stakeholders.
• Retrieve and archive files efficiently, responding quickly to requests for historic drawings and documents.
• Produce regular reports on document status, pending approvals, and outstanding submittals.
• Work closely with project managers and design teams to coordinate document flows and resolve discrepancies.
• Recommend and help implement improvements to document workflows and version-control practices in a remote environment.
• Maintain confidentiality and follow best practices for secure remote access and digital storage.
Requirements:
• High school diploma required; additional coursework or certificate in records management, office administration or architecture support is a plus.
• Prior experience in document control, project administration or construction administration; remote work experience preferred.
• Exceptional attention to detail, strong organizational skills and accurate data-entry ability.
• Comfortable using file management systems, spreadsheets and document-control tools.
• Clear written and verbal communication skills for coordinating with distributed teams.
• Self-motivated, reliable and capable of managing time and priorities independently while working remotely.

Desired Skills & Experience:
• Bachelor’s degree in Architecture, Construction Management or related field preferred.
• 3–5 years of experience in construction administration, project coordination or document control preferred.
