Description:
Served With Honor is seeking a dedicated and detail-oriented Billing Specialist to join their finance team in a fully remote role, open only to candidates located within the United States. This temporary position, lasting between three to six months, has the possibility of transitioning into a permanent role.
The Billing Specialist will handle billing-related inquiries from customers and ensure that accounts are maintained accurately and efficiently. The role involves close collaboration with other internal teams to resolve payment issues and maintain accurate financial records.
Key Responsibilities:
- Serve as the first point of contact for customers with billing questions via phone, email, or chat.
- Provide clear and timely responses to inquiries related to invoices, payments, account balances, and credits.
- Investigate and correct billing discrepancies with professionalism.
- Educate customers about payment terms, available payment methods, and account procedures.
- Accurately record all customer communications in CRM and billing platforms.
- Monitor accounts receivable aging to identify overdue payments.
- Proactively reach out to customers with outstanding balances through phone and email.
- Send payment reminders and follow up on unpaid invoices to ensure resolution.
- Document all collection activities, agreements, and escalation actions.
- Collaborate with Sales, Finance, and Account Management teams to address payment disputes.
- Recommend accounts for further action or escalation when necessary.
- Assist in regular billing operations such as invoice preparation, payment posting, and reconciliations.
- Support month-end close activities and reporting tasks.
- Maintain accurate, up-to-date records and safeguard data integrity.
- Contribute to process improvements and share knowledge within the team.
Required Skills and Experience:
- High school diploma or GED required; Associate’s degree or equivalent coursework in business, accounting, or finance is an advantage.
- At least 1 year of customer service experience (retail, call center, or administrative work accepted).
- Basic understanding of billing and financial transactions.
- Strong communication skills, both verbal and written.
- Intermediate to advanced proficiency in NetSuite.
- Proficiency in Microsoft Office, especially Excel and Outlook.
- Excellent attention to detail with a high level of accuracy.
- Strong organizational skills and ability to manage priorities in a fast-paced, deadline-driven environment.
- Collaborative team player with a willingness to learn.
Preferred Qualifications:
- Experience with accounting software, CRM tools (Salesforce, Zendesk), or ERP systems.
- Bilingual in English/Spanish or other languages is a plus.
