Description:


CYB Human Resources is seeking a dedicated Billing & Operations Specialist to join our fully remote team. This role is central to maintaining the operational and financial integrity of our boutique HR firm. As the guardian of financial data, CRM systems, and operational processes, you’ll ensure that CYB’s “Command Center” runs smoothly and efficiently.

 Key Responsibilities:

Financial Stewardship (Invoicing, Collections, and Timesheets)


• Reconcile monthly team hours against Client Master Service Agreements (MSAs) and verify accuracy of billable rates, retainers, and caps
• Review employee timesheets weekly to confirm accuracy and manage new employee setup on time tracking systems
• Handle Accounts Receivable cycles, ensuring invoices are paid on time, initiate collections at 60 days, and address client billing inquiries
• Manage Accounts Payable, credit card usage, and track all expenses against budgets
• Audit subscriptions monthly to remove unused software licenses and eliminate duplicates

Operational Hygiene and Technology


• Maintain CRM data integrity, ensuring client records are accurate and up to date
• Administer backend technology platforms including Zoho One, Zoho Books, Microsoft 365, Zoom, and DocuSign
• Manage compliance tasks such as background checks and drug screens, promptly notifying HR team of results

Rhythm of the Business (ROB) & Communication
• Own meeting cadence, track outstanding tasks, and provide daily/weekly recaps to leadership
• Manage multiple inboxes, route emails correctly, and professionally screen business calls
• Maintain clear operational communication and enforce workflow consistency

Required Skills & Experience:


• 3+ years in Operations, Billing, Bookkeeping, or AR/AP functions
• Proven collections experience and ownership of the AR cycle
• Strong proficiency in QuickBooks and Microsoft Office
• Experience managing Microsoft 365 tenants and CRM systems (Zoho CRM preferred)
• Ability to protect sensitive data and maintain high confidentiality
• Exceptional organizational skills, attention to detail, and proactive communication

Preferred Skills & Experience:


• Experience with small businesses or consulting firms
• Familiarity with Gusto, Zoom, DocuSign, and Zoho Books
• Comfort using AI tools such as ChatGPT and Gamma within system workflows
