We are seeking an Administrative Assistant to support our procurement and office teams. Reporting to the Director of Procurement, this role is essential for maintaining operational efficiency, managing supplier and subcontractor pre-qualification, and assisting with various administrative functions. This position offers flexibility, including remote work, and allows the candidate to contribute directly to the success of projects and daily operations.

Responsibilities:

  • Assist in pre-qualifying suppliers and subcontractors to meet company standards and project requirements
  • Maintain and update supplier and subcontractor databases for procurement activities
  • Manage incoming and outgoing mail, including courier services like UPS and FedEx
  • Support document control processes, ensuring project documentation is organized, accurate, and accessible
  • Assist with printing and assembling job books and full-size drawing sets for local projects
  • Provide general administrative support to procurement and office teams
  • Coordinate scheduling and communications between departments and external partners
  • Ensure compliance with company policies and administrative procedures

Qualifications & Requirements:

  • High school diploma or equivalent; additional college coursework or administrative certifications preferred
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); familiarity with CRM or ERP systems (e.g., Salesforce)
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Ability to work independently and collaboratively within a team
  • Experience in document control and database management is a plus
  • Knowledge of procurement processes and supplier management is desirable
  • Self-motivated and proactive problem-solving approach
