Hiring Executive Assistant to the CEO.
- Bilingual is preferred.
- Candidates should be available inside UAE and able to join immediately.
Duties & Responsibilities
- Maintains physical and electronic office filing systems for the CEO.
- Screening telephone calls, enquiries and requests on behalf of the CEO
- Extensive Diary management for the CEO.
- Ensuring CEO has all the required information to enable him to discharge his duties efficiently.
- Making appointments, dealing with incoming e-mail and post.
- Taking dictation, writing letters and producing reports.
- Carrying out background research into subjects the Manager is dealing with and presenting findings in an easily digestible form.
- Formatting of all the documents especially Monthly Reports and Board Reports and distributing to all the department Managers on time.
- ·Creating, updating excel spreadsheets and designing presentations on PowerPoint.
- Organising and coordinating Board meetings schedules and any other meetings scheduled on the CEO calendar.
- ·Provides comprehensive support services to the CEO ensuring professional, responsive and effective experience with the organization as a whole.
- ·Maintains confidentiality and uses a high degree of discretion.
- Sending of invitations to the meeting Attendees.
- Ensure the meeting facilities are all in palace and ready prior the meeting schedule.
- Organising a pack for the meeting and distributing it to the attendees beforehand.
- Taking the minutes for the meeting and circulating the minutes in a timely manner.
- Liaising and coordinating with the clients and other company staff.
- Creating brochures and posters for the company when required.
- Oversee the CEO emails including strictly private and confidential communication.
- Provide administrative and clerical support as necessary, including composing and editing correspondence as directed, directing telephone calls and visitors, distributing mail.
- To respond to enquiries and general requests from within and outside the organization.
- Book venues and hotels and make travel arrangements domestically and internationally as required.
- To support other Managers and other members of staff, as time permits in day to day activities.
- Ability to handle multiple tasks flexibly and deliver work on deadlines.
- ·Assist with other duties as and when required.
