Job Summary
The Senior Administrative Assistant plays a vital role in delivering high-level executive support, ensuring seamless operations for the leader and team. This role involves acting as the primary representative and first point of contact for the leader, projecting professionalism and maintaining the appropriate organizational image. Key responsibilities include managing highly confidential information and overseeing day-to-day operations such as complex calendar management, coordinating global travel arrangements, preparing expense reports, and organizing email communications.
The ideal candidate is an experienced administrative professional with a proven track record of supporting senior leaders. They are highly organized, adaptable, proactive, and self-motivated, with strong initiative and excellent follow-through skills. A willingness to enhance processes and adopt new technologies is essential.

Key Responsibilities
- Calendar Management: Maintain and update calendars in a dynamic and fast-paced environment with competing priorities. Field all scheduling requests, prioritize urgent and sensitive matters, coordinate with all involved parties, and ensure meetings are prepared for success.
- Confidential Information Handling: Manage highly confidential information with discretion, ensuring timely and secure handling.
- Meeting Coordination: Take ownership of meetings, including scheduling, preparing agendas, coordinating with remote participants, arranging materials, recording minutes, distributing post-meeting materials to attendees, and managing catering as needed.
- Team Resourcefulness: Serve as a proactive resource for the team, independently seeking answers, taking initiative, and leveraging internal networks to solve challenges and provide solutions.
- Executive Assistant Support: Provide assistance with overflow tasks from Executive Assistants to support seamless operations.
- Project Coordination: Act as a project coordinator for teams and leaders as needed, ensuring timely execution of tasks and effective outcomes.
- Leadership Onboarding: Serve as a subject matter expert on training and onboarding key leaders, guiding them through the process effectively.
- Team Member Onboarding: Support the onboarding of new administrative team members, facilitating their integration into the organization.
- Leadership Engagement: Attend leadership team meetings, actively contributing by providing suggestions and feedback to enhance productivity and efficiency.
- Peer Networking: Build relationships with peers to gain a broader understanding of the overall Strada business, contributing to collaboration and knowledge sharing.
- Coaching and Feedback: Foster a culture of growth and development by providing coaching and real-time feedback to peers, encouraging professional development.
- Team Collaboration: Actively contribute as an effective team member by providing coverage and support to colleagues when necessary.
- Documentation and Presentations: Prepare and produce presentations, graphic materials, and other correspondence, ensuring high-quality output by editing for grammar, punctuation, and clarity.
- Proofreading: Create and proofread correspondence for internal and external distribution, maintaining accuracy and professionalism.
- Administrative Tools Management: Maintain files, databases, distribution lists, and SharePoint sites as appropriate to ensure efficient organization and accessibility.
- Travel Coordination: Arrange complex travel itineraries and prepare accurate expense reports promptly.
- Time Tracking: Record and submit time accurately in alignment with corporate guidelines.
- Flexibility: Exhibit a positive and adaptable attitude, readily assisting colleagues and leaders as needed.
- Task Prioritization: Effectively prioritize work, maintain measurable progress on assignments, and consistently deliver high-quality results.
- Business Knowledge: Understand and apply practice-specific and business terminology to daily tasks seamlessly.
- Internal Resource Networking: Develop and maintain strong knowledge of internal networks and organizational resources, leveraging them as needed.
- Brand Representation: Serve as a resource for Strada branding, ensuring consistency and alignment in all activities.
- Additional Responsibilities: Adapt to evolving business needs by taking on additional tasks or responsibilities as required
Knowledge, Education, Certification, Skills & Technical Proficiencies
- High school diploma or equivalent
- Minimum of 6 years of relevant experience
- Intermediate level computer literacy in Microsoft Office Suite and other programs, as applicable

- Extensive Administrative Experience: 6+ years of progressively responsible experience in administrative support roles, showcasing expertise in high-level functions.
- Customer Service Excellence: Exemplifies outstanding customer service skills with a strong attention to detail.
- Advanced Writing Proficiency: Skilled in grammar, punctuation, spelling, proofreading, and professional correspondence creation.
- Effective Communication: Communicates clearly, professionally, and confidently across all organizational levels.
