JOB SUMMARY
The Accounts Payable Specialist II helps to process and analyze accounts payable transactions, primarily focusing on vendor accounts.
Essential Responsibilities
Their main duties include:
- Review and verify invoices and employee expense reimbursement requests for appropriate documentation, adherence to policies, and approval prior to payment.
- Enter invoices into NetSuite accounting system, compute discounts, code expenses, prepare vouchers for payment, remit invoices, perform filing.
- Ensure timely distribution of funds, with all available discounts taken. Track manufacturer ship dates for pre-payment to ensure discounts are taken.
- Maintain vehicle insurance records for employees with driving duties and ensure proper reimbursements.
- Check incoming vendor statements, resolve account issues, and answer vendor inquiries.
- Prepare journal entries and reconciles general ledger or bank accounts on a regular basis; monitors cash flow as required.
- Maintain vendor records. Enter new vendors as necessary.
- Work with colleagues to update processes to improve efficiency and accuracy within the department.
- Assist in year-end or monthly/quarterly accounting procedures.
- Complete special projects as assigned.
Secondary Responsibilities
- Comprehend and adhere to all safety, quality, and Company guidelines specified in the Employee Handbook, the safety policy manuals, quality procedures or any official Company documents.
- Other duties, as assigned.
Requirements
QUALIFICATIONS:
- Education: Associate or bachelor’s degree in accounting or equivalent field.
- Experience: 2 years of experience in accounts payable.
- Accounting: Understanding of basic principles or finance, accounting, and bookkeeping.
- Payment Verification: Experience executing on check or payment runs, reconciling balances, and maintaining records.
- Reconciliation: Experience reconciling vendor accounts and analyzing data in spreadsheets and reports.
- Communication Skills: Effective verbal and written communication skills. Ability to respond to inquiries from vendors or employees in a professional manner.
- Computer Skills: Ability to use Microsoft Office suite and experience with an accounting software.
- Organizational Skills: Ability to handle multiple tasks, deadlines, and projects at once and stay organized, prioritizing as appropriate.
- Supervisory Responsibilities: This position has no supervisory responsibilities.
- Excellent Attention to Detail: Able to process work with accuracy. Able to work with minimum supervision as well as to accept direction on given assignments. High level of ownership and follow up and follow through. Respects the confidentiality of information and concerns shared by others. Able to work with a diverse group of people. Professional appearance; business casual.
Preferred Qualifications
- Software: NetSuite and Concur experience preferred.
- Process Improvement: Ability to work with process improvement tools, such as Visio.
Work And Travel Requirements
