JOB OBJECTIVE: Reporting to the VP of Supply Chain & Remote Systems, this role involves managing the shipment and tracking processes for packages dispatched from CareKinesis fulfillment centers to various destinations, including participant residences, assisted living facilities, and PACE organization facilities. Responsibilities encompass closely monitoring all shipments to ensure timely delivery through internal and external tracking tools and dashboards, coordinating with national courier Account Managers, and effectively addressing and resolving various delivery challenges such as weather-related issues and exceptions, with the ultimate aim of achieving a high on-time delivery rate. Supervision and guidance are provided by a manager or supervisor.

Essential Job Functions

  • Monitors and tracks all shipments by FedEx, UPS and other couriers to provide timely updates to team members and leadership. Acts as a liaison between various national couriers and our organization.
  • Ensures accuracy of shipments by monitoring delivery systems for appropriate destination address and delivery time. Addresses delivery exceptions while escalating any unresolved shipments or issues when necessary.
  • Address and resolve shipment errors and challenges.
  • Escalation of any unresolved shipments.
  • Monitors weather patterns across the United States to proactively mitigate delivery delays and inform supervisor so that all fulfillment sites are notified.
  • Act as a liaison between our national couriers and CareKinesis.
  • Follows procedures in client contracts and purchase orders to prepare accurate invoices and credits.
  • Prepares shipping reports by coordinating information between carriers and dashboards.
  • Stays informed about shipment transit times and groups shipments for efficiency.
  • Participates in reclamation duties including, but not limited to, the retrieval and restoration of shipping packages.
  • Participate in company quality initiatives, identify opportunities for process improvements, and report potential quality assurance issues.
  • Ensures compliance, efficiency, quality of operations, and information security in accordance with privacy, security, and company guidelines along with applicable regulations such as HIPAA.
  • Acts as a liaison between our clients, their providers, and our pharmacy. Handles all shipping requests and other related requests to ensure clients have a positive experience.
  • Acts as a primary liaison coordinating with various departments to ensure operational efficiency and delivery quality.
  • Coordinates return requests from PACE clients.
  • Collaborates with the inventory supervisor assisting in return packages and crediting orders by utilizing JIRA customer portal and Appfire.
  • Stay updated on training and best practices relevant to the role.

Education

  • High School diploma or equivalent required.

Experience

  • Minimum of 3 years’ experience in shipping preferred.
  • Experience working in a Pharmacy or healthcare environment is preferred.
  • Ability to communicate effectively and professionally through written, verbal, and interpersonal skills as applied when interacting with employees, clients, or agency representatives, successfully conveying, and exchanging information in a positive manner.
  • Proven ability to evaluate and analyze problems or tasks from multiple perspectives; adaptively employ problem solving methods to find creative or novel solutions; and use logical, systematic, and sequential processes to solve problems.
  • Ability to multi-task and handle multiple priorities without sacrificing quality.
  • Detail oriented and organized. Proficient computer skills to navigate proprietary and other pharmacy software; shipping, delivery, and order management platforms (i.e. FedEx, UPS, TForce, TOMS, etc); as well as Microsoft Office Suite (i.e. Excel and Sharepoint).
  • Proficiencies include but are not limited to: Excel using quantitative analysis, charting, pivot tables, formulas/algorithms, and trend analysis.

PHYSICAL/MENTAL DEMANDS: This position is administrative in nature and will present physical demands requisite to a position requiring: hearing, seeing, sitting, standing, talking, and walking. Uses computer hardware, and other basic office equipment, which may require long periods of typing on a keyboard and reading on a monitor. Must be able to multi-task under deadlines, and handle periods of high degree of stress. May encounter long periods of routine work.

EXPECTED HOURS OF WORK: Schedules are set to accommodate the requirements of the position and the needs of the organization and may be adjusted as needed.

TRAVEL: Travel may be required for special department events, trade shows, or conferences.
