About the Opportunity:
The Senior Operations Manager will be responsible for managing operational systems, processes and administrative needs of the USP&P team to help it, and its partners, achieve their goals. With other teams and departments in the Social Impact Division and across WES, the USP&P team envisions a world in which individuals can thrive anywhere. The team works collaboratively with partners and policymakers to advance reforms that foster economic inclusion for immigrants, refugees, and international students. This is the position that shepherds USP&P programs and projects forward in the most efficient, effective, and elegant manner possible. This includes ensuring strong execution and follow-through for key initiatives; strengthening alignment and coordination; collecting; using, and visualizing data; shepherding the learning and evaluation agenda; and helping to analyze the best and highest use of WES resources and capacity, including through a financial lens. This includes project management and strategic planning to help the team(s) stay focused, elegantly and efficiently execute and adapt, and prepare for the future. The Senior Manager will work collaboratively across internal teams and with external consultants and stakeholders, establishing deliverables, milestones, setting deadlines, adhering (or modifying, as needed) to deadlines, and making clear and rational decisions in real time.
What You’ll Do:
- Departmental Coordination and Planning (40%)
- Co-design (with USP&P leadership) and project manage the annual planning and quarterly reporting processes across the division in close collaboration with and adherence to the Social Impact Division and enterprise-wide functions (eg. Office of the CEO and Finance).
- Design, in close coordination with the PLME and USP&P leadership team, and project manage the USP&P learning agenda, including through the development of key performance indicators and other indicators to help inform USP&P staff and leaders’ decisions
- Collaborate closely with sub-teams to develop and implement systems, processes and tools for coordination, collaboration, and data collection/visualization
- Develop and maintain budget process, such as budget development to align resources with intended impact and routine, simplified budget tracking tools.
- Collaborate with other departments and the SI Division to execute internal processes in a coordinated manner.
- Develop process and protocols to facilitate the adoption of a data culture, including but not limited to visual tools, leadership and individual contributor dashboard, engaging meetings and conversations, and storytelling through data
- Co-design, with USP&P leadership, PLME, and the communication team(s), storytelling processes to ensure that data collected is used not only to learn and manage but also to share the story of the team, its learnings, and its impact.
Operations and Administration (40%)
- Support the Department leader to respond to internal and external requests, including through developing and operationalizing agendas, development of internal communications, and providing thought partnership as requested.
- Manage key operational systems and processes, including the development and implementation of standard operating procedures, and ensure their adoption across the department.
- Develop and maintain standard procedures for reviews and approvals, including content development, travel, conference attendance, and routine updates.
- Develop and enhance key operational and administrative systems or initiatives (e.g. Department intranet site, budget development, travel and conference approvals, etc).
- Maintain compliance and enhance internal USP&P processes for vendor, contracts management and invoicing, and budget monitoring.
- Manage logistics and planning for events and meetings as assigned (e.g internal-staff meetings, retreats, external events)
- Assist in the administrative functions required to recruit, hire, and onboard new contractors and staff, as assigned
- Work with the Finance and senior team to ensure compliance to financial policies and procedures.
- Work with various departments (e.g. Legal, enterprise communications, IT) to resolve related issues as they arise.
Special Projects (20%)
- Support Department Directors in preparation for high priority meetings, discussions on strategic initiatives, and key initiatives.
- Support with planning and materials development for Board and Task Force meetings.
- Oversee special projects and develop and maintain tools necessary for tracking progress, as needed
- Develop key relationships with other WES teams required to move USP&P department-wide priorities forward, such as implementation of new strategies
- Other duties, as assigned
Required
- 6-7 years of relevant operational and project management experience, with increasing amounts of responsibility
- Documented experience in planning, learning, monitoring, and evaluation, with a preference for leadership in such efforts
- Bachelor’s degree in a relevant field, such as business administration, non-profit management, public policy or other relevant degree; work experience may be substituted year for year
- Ability to plan for and keep track of multiple projects and deadlines.
- Strong project manager who can solve problems creatively, collaborate effectively with team members and partners and deliver high-quality, accurate work in a fast-paced environment.
- Experience with Salesforce (or other CRM system) and webinar/meeting or other digital platforms; Salesforce certification preferred.
- Experience embedding values of justice, equity and diversity into systems and practices.
- Strong analytical skills with the ability to communicate complex information to meet the needs of stakeholders.
- Excellent communication and interpersonal skills including written, presentation and facilitation skills applied within multicultural contexts to stakeholders with different backgrounds and needs.
- Advanced proficiency using Microsoft Office (e.g., Excel, Word, PowerPoint, OneDrive, SharePoint), Salesforce and other CRM systems.
- Available to travel to attend conferences, WES or partner events, meetings, etc.
- Demonstrated commitment, whether through work or volunteerism, to social change, such as (but not exclusive to) in the immigrant inclusion space, food security, healthcare, workforce, or education.
- Be excited about WES mission, the USP&P priorities, and advancing equity, inclusion, and diversity.
- Have obtained a certificate in project management, or demonstrate the skills required by such programs
