Position Ovzrview:

The Secretary cum Admin for a Dubai Real Estate company plays a crucial role in ensuring the smooth and efficient operation of the office. This role combines administrative tasks with secretarial responsibilities to support the real estate team and facilitate the overall functioning of the business.

Key Responsibilities:

Administrative Support:

  • Manage office supplies, equipment, and inventory.
  • Coordinate and schedule appointments, meetings, and events.
  • Handle incoming and outgoing correspondence, emails, and phone calls.
  • Organize and maintain files, records, and documents.

Secretarial Duties:

  • Greet and assist clients, visitors, and potential buyers.
  • Prepare and draft correspondence, contracts, and agreements.
  • Maintain confidentiality and handle sensitive information.
  • Schedule property viewings and meetings with clients.

Data Management:

  • Input and update property listings in the company’s database or CRM.
  • Maintain accurate records of property transactions, sales, and rentals.
  • Prepare and generate reports as required.

Communication:

  • Act as a liaison between clients, real estate agents, and other departments.
  • Respond to client inquiries and provide information about properties.
  • Maintain a professional and courteous communication style.

Office Organization:

  1. Ensure the office is well-organized and tidy.
  2. Assist in organizing marketing materials, brochures, and property listings.
  3. Coordinate with other team members to ensure efficient workflow.

Financial Assistance:

  • Assist in basic accounting tasks such as invoicing and payment tracking.

Support to Real Estate Team:

  • Assist real estate agents with administrative tasks to facilitate property transactions.
  • Prepare and distribute marketing materials for property listings.
  • Assist with property showings and open houses when required.

Requirements:

  • Bachelor’s degree or equivalent qualification preferred.
  • Previous experience in administrative or secretarial roles.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Knowledge of the Dubai real estate market is a plus.
  • Attention to detail and ability to work independently.
