Hiring Records Clerk

Rack Electric is seeking a highly organized and detail-oriented Records Clerk to join our growing team. As a Records Clerk, you will be responsible for managing and maintaining company records and files in an efficient and systematic manner. You will ensure the accuracy, confidentiality, and security of both physical and electronic records, helping streamline daily operations and support various departments within the company.
The ideal candidate will have strong organizational skills, a keen eye for detail, and the ability to work independently and as part of a team.
Key Responsibilities
- Records Management: Create, organize, and maintain accurate records of company documents, contracts, project files, and other important paperwork. Ensure that all records are updated, categorized, and stored correctly, whether in physical or digital form.
- File Organization: Ensure that files and records are stored in an easily accessible and systematic way. Implement an efficient filing system to ensure records are retrievable quickly when needed.
- Data Entry: Accurately input data into various company databases or record-keeping systems, maintaining consistency and integrity across all records.
- Document Retrieval: Retrieve and supply requested records to employees, departments, or management in a timely manner, while maintaining the confidentiality of sensitive information.
- Record Retention & Disposal: Adhere to company policies and legal requirements regarding the retention and disposal of records. Ensure that expired or outdated records are securely disposed of in compliance with company guidelines.
- Confidentiality & Security: Maintain confidentiality of sensitive company information, ensuring that records are stored and handled securely to protect the privacy of employees, clients, and the organization.
- Record Audits: Perform periodic audits of records to ensure compliance with regulatory requirements and internal policies. Address discrepancies and correct records as necessary.
- Support for Administrative Tasks: Assist other departments with record-related needs, including document preparation, printing, and copying. Provide clerical support as required.
Qualifications
- Education: High school diploma or equivalent required. Additional certifications in records management or office administration are a plus.
- Experience: Previous experience in records management, clerical work, or office administration is preferred. Familiarity with filing systems, both physical and electronic, is highly desirable.
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
- Knowledge of record-keeping systems and databases.
- Excellent organizational skills and attention to detail.
- Strong ability to maintain confidentiality and security of sensitive records.
- Good communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Ability to manage multiple tasks efficiently and meet deadlines.
