Description:

Hiring Projects / Admin Assistant

  • Provides confidential secretarial and administrative support for the principal executive or executives, to include managing the schedule/calendar, making travel arrangements, screening and handling telephone communications, greeting and directing visitors, and dealing with administrative problems and inquiries as appropriate.
  • Monitors and coordinates accounting activities as appropriate
  • Assists with projects department in various activities to ensure more efficient service and organization of the office.
  • Composes and prepares written documentation and correspondence for the office; screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate.
  • Assists in the coordination, supervision, and completion of special projects as appropriate.
  • Assist with purchase department for finalizing suppliers & quote, preparing LPO’s
  • If needed, support HR department in various activities.
  • May supervise personnel which may include recommendations for hiring, performance evaluation, training, work allocation, and problem resolution.
  • Performs miscellaneous job-related duties as assigned.
  • Handle wide range of clerical duties, including scheduling meetings, quote preparations and handling correspondence
  • Supporting the other departments in clerical works.
  • Timesheet Updating on daily basis
  • Timesheet chasing and cross check whether all details are incorporated
  • Sending pending timesheets list to ops for collection (weekly once at least)
  • Trip sheet monthly collection and verification
  • Incentive sheet monthly collection and verification
  • Incentive calculation and submit to MD before 20th of every month.
  • Film master log updating
  • Consumption reports cross checking
  • Deduction on reshoots – ops list cross checking.
  • Timesheet filing & Invoice scanning
  • Experience: Minimum 1 year in experience in admin is an advantage.
  • Excellent knowledge of Word, MS Office Excel with short cuts.
  • Salary: 2000 to 2500 AED, Transportation will be provided by company from Shabiya – Mussaffah.
  • Job Location: Prestige Tower, Capital Mall, Mussaffah – Abu Dhabi.
