Hiring Procurement Coordinator

Key Responsibilities:

  • Manage the Head of Department’s calendar and maintain office records, ensuring timely communication.
  • Support the Head of Department in organizing internal, departmental, and external meetings.
  • Screen incoming calls and relay messages for the Head of Department.
  • Handle all incoming and outgoing business correspondences for the department.
  • Prepare and edit internal and external letters, faxes, memos, and emails.
  • Assist the team in preparing requirement management reports as needed.
  • Collaborate with the Head of Department to prepare business presentations.
  • Arrange and coordinate management meetings as required.
  • Assist in consolidating monthly assets presentations.
  • Conduct research, prepare reports, and manage projects for the department.
  • Schedule departmental meetings, conferences, travel, and other calendar activities.
  • Prepare meeting agendas in advance, confirm timings and venues, and coordinate with attendees.
  • Serve as recording assistant during meetings and prepare accurate minutes.
  • Maintain confidentiality of all documents and handle business deals and projects discreetly.
  • Complete post-trip expense reports and follow up with relevant departments.
