Hiring Procurement Coordinator
Key Responsibilities:
- Manage the Head of Department’s calendar and maintain office records, ensuring timely communication.
- Support the Head of Department in organizing internal, departmental, and external meetings.
- Screen incoming calls and relay messages for the Head of Department.
- Handle all incoming and outgoing business correspondences for the department.
- Prepare and edit internal and external letters, faxes, memos, and emails.
- Assist the team in preparing requirement management reports as needed.
- Collaborate with the Head of Department to prepare business presentations.
- Arrange and coordinate management meetings as required.
- Assist in consolidating monthly assets presentations.
- Conduct research, prepare reports, and manage projects for the department.
- Schedule departmental meetings, conferences, travel, and other calendar activities.
- Prepare meeting agendas in advance, confirm timings and venues, and coordinate with attendees.
- Serve as recording assistant during meetings and prepare accurate minutes.
- Maintain confidentiality of all documents and handle business deals and projects discreetly.
- Complete post-trip expense reports and follow up with relevant departments.
