The Position

The Payroll Specialist position is responsible for the company’s payroll processes, payroll tax and HRIS functions of the organization, ensuring pay is processed on time, accurately, and in compliance with federal, state and local requirements. The role involves collaboration with HR, Finance, and external partners to handle employee compensation, tax filings, and benefits deductions, while resolving any payroll-related inquiries.

Essential Functions/ Duties & Responsibilities:

Payroll & Payroll Tax

  • Manages multi-state, semi-monthly, bi-weekly and weekly payroll process.
  • Calculates and processes compensation based on employee hourly rates, salaries, overtime, commissions, bonuses, or other compensation, time worked, paid leave and holidays
  • Processes deductions, withholdings, and other payroll levies or garnishments
  • Oversee and verifies timekeeping records, maintains time and attendance records
  • Generates and verifies payroll reports
  • Reconciles quarter-end and verifies year-end reports and W2’s
  • Ensures accurate and timely processing of payroll updates, including new hires, terminations and changes to pay rates
  • Prepares and maintains accurate records and reports of payroll transactions
  • Issues, or reissues replacement payments or direct deposits for payroll errors or final discharge payments
  • Coordinates payroll funding with Finance
  • Processes 401(k) and other payroll contribution remittances
  • Ensures compliance with federal, state, and local payroll tax withholdings and deposits to include registration, remittance and reconciliations
  • Works with federal and state tax agencies, and third parties to resolve escalations
  • Facilitates audits by providing records and documentation to auditors
  • Establishes, documents and updates written payroll procedures

HRIS

  • Oversees and maintains optimal function of the organizations internal HR information systems which may include database management, network support, installation, customization, development, maintenance, and upgrades to applications, systems, and modules
  • Ensures that all HR-related systems are integrated and performing in accordance with company policies.
  • Maintains data integrity by regularly analyzing data
  • Leads integrations with internal and external systems and other stakeholders for HR database design

HR Team

  • Automates HR systems to enhance data integrity and process improvement
  • Supports HR activities to include benefits administration and talent acquisition

Required Skills/ Abilities:

  • Must be able to maintain a work schedule coinciding with payroll processing dates
  • Advanced Microsoft Excel skills using complex formulas and reporting
  • Excellent organizational skills and attention to detail
  • Proficient with Microsoft Office and Teams

Education, Experience and Requirements:

  • Bachelor’s degree in HR, Finance or equivalent and 2 years multi-state payroll experience; or the equivalent combination of education and experience.
  • Experience processing payroll for multiple pay period ranges
  • Experience managing state payroll tax filings
  • Experience with ADP preferred

Physical Requirements:
