As a Payroll & Billing Specialist, you will play a critical role in ensuring that we provide accurate, and on-time pay to our thousands of workers across the US, and create accurate invoices to our clients to ensure they pay promptly for our services. Eclipse Advantage is a rapidly growing Private Equity-owned firm expanding through acquisitions that have made significant investments in systems including Bullhorn and UKG Payroll.
Payroll Processing:
- Process weekly payroll accurately while meeting deadlines to ensure our workers receive their pay on time
- Import employees’ pay information and validate that all data is accurate before processing
- Import, reconcile, review, and process time files weekly for multiple clients
- Verify and address payroll exceptions and sick time
- Process payroll for employees ending assignments, and addressing special cases including California-specific regulations
- Enter pay card information into the payroll system and follow up with any payroll returns in the bank.
Billing / Invoicing:
- Creating invoices to clients and validating all details are accurate and consistent with billing terms
- For clients that make use of a “VMS (Vendor Management System) ensure that rates, hours and other details are consistent between systems
- Run Invoice Summary Report for specific clients to send with invoices.
- Collaborate with clients and account teams to correct billing issues
Compliance & Administration:
- Ensure payroll complies with all legal requirements at the federal, state and local level
- As needed, generate reports to monitor the process & accuracy of payroll and billing
- Input child support and garnishment orders, and other related matters
Position Requirements:
- 3-5 years of experience in a high-volume payroll department, with a proven track record of accurately completing complex payroll operations while strictly meeting deadlines
- 3-5 years of experience performing billing/invoicing functions
- Intermediate knowledge of Microsoft Office Excel, including the ability to create and manage reports / spreadsheets
- Experience with professional services or staffing is preferred
- Experience with Bullhorn and/or UKG payroll is preferred
- High school diploma or GED required
- General awareness of payroll regulations coupled with an affirmed commitment to receiving additional training about policies and legal requirements
