Job Overview

The Payment Entry Specialist will be responsible for accurately processing payments, ensuring timely updates of financial records, and maintaining consistency across accounts. The ideal candidate will have strong organizational skills, an understanding of payment processes, and a high level of attention to detail. In this role, you will play a crucial part in maintaining the financial health of Rack Electric by ensuring all transactions are entered correctly and in a timely manner.

Key Responsibilities

• Payment Processing: Accurately enter and update payment transactions into the company’s accounting system, ensuring proper coding and categorization.
• Payment Reconciliation: Reconcile incoming payments with corresponding invoices and ensure that all payments are properly allocated to accounts.
• Invoice Verification: Verify and process invoices from clients, vendors, and internal teams, ensuring accuracy and adherence to company policies.
• Record Maintenance: Maintain up-to-date records of payments, ensuring all transactions are tracked and stored for future reference.
• Customer Communication: Respond to payment-related inquiries from clients, resolving any discrepancies or issues regarding payment status.
• Report Generation: Generate regular reports on payment status, outstanding invoices, and financial summaries to assist with month-end close processes.
• Error Resolution: Identify and correct discrepancies in payment entries, working closely with internal teams to resolve issues promptly.
• Process Improvement: Suggest and implement improvements to the payment entry process to increase efficiency and accuracy.
• Confidentiality & Compliance: Ensure all payment-related processes comply with financial regulations and Rack Electric’s internal policies, maintaining confidentiality at all times.

Qualifications

• Proven experience in payment processing, accounts payable, or similar roles, ideally in an electrical or energy industry setting.
• Strong proficiency with accounting software and payment processing systems (e.g., QuickBooks, SAP, Oracle).
• High level of accuracy and attention to detail.
• Excellent organizational and time management skills, with the ability to meet deadlines.
• Ability to handle sensitive financial data with confidentiality and integrity.
• Strong communication skills and the ability to interact professionally with internal and external stakeholders.
• Experience with financial reporting and basic accounting principles.
• Problem-solving skills and the ability to troubleshoot payment discrepancies.
• Associate degree in Accounting, Finance, or related field (preferred).
