An Operations Associate – Mechanical Services Support, primarily support the daily operations by sending out daily reports for ongoing projects. Maintaining all inbound phone calls, documentation recording and maintaining a close relationship with Project Managers, Technicians, and Supervisors.

Essential Duties And Responsibilities

  • Primary responder, answering incoming calls & coordinating schedules within the Mechanical Services Support team
  • Posts client and Probo forms to the appropriate job folder
  • Ensures documents returned from the Field are accurately filled out and completed
  • Ensures all forms are returned to appropriate folder and closed out
  • Communicates and confirms job information to the appropriate personnel, via phone and/or email
  • Processes all job documentation, including daily updates
  • Follow up with missing documentation, as needed
  • Reviews and approves travel expense receipts in Nexonia
  • Sends daily updates to OEM and project managers – including the collection and editing of customer documents
  • Partner with project managers, delivering notifications on designated days within agreed upon timeframes
  • Maintaining understanding of protocols and ensuring completion through internal portal programs
  • Train team leaders and designated employees on internal portal/program
  • Create emails and follow-ups, as needed
  • Maintain tech to team lead forms, working with customer support or project managers
  • Represents Probo and the customer in a professional and courteous manner
  • Maintains integrity of confidential information

QUALIFICATIONS

Required Education And Experience

  • High School Diploma
  • Proficient in Microsoft Outlook; Teams, and Excel.
  • Excellent Interpersonal skills
  • Good with time management
  • Self-Starter
  • Attention to detail.
  • Ability to work efficiently under strict timelines.
  • Ability to work remotely.
  • Availability to work some hours on the weekend.
  • Expected compensation is $17.00/hr. This range may vary and is based on several factors including, but not limited to, geographic location, work experience, education, certifications, etc.

Travel Requirements

  • No travel requirements. This is a remote position, ideally within the Eastern Time zone, Monday through Friday with some hours worked on Saturday and Sunday to complete daily reports.
