Hiring Office Administrator

Job Description:

  • Manage the calendar for the Board of Directors.
  • Handle large volumes of data with meticulous attention to detail and accuracy.
  • Organize project submissions by regularly preparing and updating all documentation.
  • Conduct follow-ups and compile intelligence reports on market dynamics.
  • Create and maintain relevant mailing lists, sending agency communications to designated recipients.
  • Assist in various administrative functions, including coordinating appointments, meetings, and travel arrangements.
  • Schedule appointments and meetings, reserve conference rooms, and prepare meeting materials as needed.
  • Assist in arranging office celebrations.
  • Supervise general office operations, including procurement of supplies, management of office equipment, and handling incoming calls.
  • Manage sensitive and confidential information discreetly and professionally.
  • Perform other duties and responsibilities assigned by the executive team.

Qualifications:

  • Must be a current resident of the UAE.
  • Bachelor’s degree in Business Administration or a related field.
  • Previous experience in the creative and/or events industry is essential.
  • Proficient in spoken and written English; knowledge of Arabic is advantageous.
  • Proven track record as an office manager, administrative assistant, or in a similar role.
  • Strong organizational skills and meticulous attention to detail, with the ability to multitask and prioritize effectively.
  • Relevant professional certifications are preferred.
  • Proficiency in computer skills, including MS Office (Word, Excel, Outlook), and familiarity with online travel bookings.
  • Exceptional problem-solving and communication skills.
  • Excellent interpersonal skills.
