Key Responsibilities:
1. Office Management:
Oversee day-to-day office operations, including managing office supplies, equipment, and general upkeep.
Coordinate and schedule meetings, appointments, and travel arrangements for staff and management. o Handle incoming calls, emails, and correspondence, directing them to appropriate personnel as needed.
2. Documentation and Record Keeping:
- Prepare and maintain accurate records, reports, and documentation.
- Assist in the preparation of presentations, proposals, and reports.
- Manage filing systems, ensuring that all documents are organized and easily accessible.
3. Customer and Vendor Interaction:
- Provide exceptional customer service to clients and vendors, addressing inquiries and resolving issues promptly.
- Coordinate with suppliers and vendors for orders, deliveries, and other necessary supplies.
4. Financial Administration:
- Assist with basic accounting tasks such as invoicing, expense tracking, and financial reporting.
- Process and track payments and receipts in coordination with the finance department.
5. Support to Management:
- Assist management with various administrative tasks, including preparing reports and data analysis.
- Coordinate internal and external events, including meetings, conferences, and corporate functions.
6 Compliance and Confidentiality:
- Ensure adherence to company policies, procedures, and confidentiality agreements.
- Maintain a high level of professionalism and discretion in handling sensitive information.
Qualifications:
- Education: High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
- Experience: Minimum of 2 years of experience in an administrative role, preferably within the construction or manufacturing industry.
Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Familiarity with office management procedures and basic accounting principles.
Languages:
Fluency in English is required.
