Hiring an experienced IT Office Administrator to support the team in the Dubai location.

Roles and Responsibilities:

Financial Responsibilities and IT Recoveries:

  • To ensure clearance of vendor invoices by checking signed DOs/service reports for the IT items/services received and obtaining approvals from respective departments on services received and work completed.
  • Responsible for timely vendor payments
  • Maximise customer satisfaction and ensuring timely payments for the services provided with the group.
  • Monitoring of Procurement and Contracts:
  • Custodian of all the hardware, software, lease, SOW and other non IT maintenance contracts and renewal. To ensure timely renewal of all contracts and payments to vendors so that the IT services are not interrupted.
  • To ensure timely renewal, PO creation and vendor payments.
  • Timely closure of Open LPO’s – quarterly review with finance
  • Budget tracking and coordination with respective contract owner/PM (OPEX, XAPEX, Chargeback and Internal Related Project)
  • Ensure timely good receipts, invoice clearance and coordination with Ariba team and finance for vendor payments and issues.

Monthly Reports:

  • Scrutinising telephone bills and timely payments.
  • Maintaining the opex sheet for budget consumption and invoices cleared for hardware, software and maintenance contracts.
  • Maintaining the monthly provision sheet for finance (opex tracker)
  • Preparing weekly project expense report for the PM team
  • Preparation of monthly payroll for employees.

General Administration Work:

  • Response to vendor email queries on PO follow up, invoice processing and upload on Ariba
  • General administrative work, arranging vendor SOA
  • Monitor and control all the administrative expenses within the group

Requirements:

  • Min 2-3 yrs Experience in Administration/Purchasing.
  • Proficient in Microsoft Office Suite( Word, Excel, PowerPoint, Outlook).
  • Excellent time management & prioritization skills.
  • Detail oriented with a strong work ethic.
  • Good communication and interpersonal skills, ability to work independently and under pressure, organised, proactive and general business systems knowledge.
