Hiring Invoicing Specialist
Description
As an Invoicing Specialist, you will be responsible to support DDI Operations with invoicing capabilities. Primarily, you will be responsible for a sales team and any additional operational areas assigned to you. You will utilize your experience to collaborate with key internal stakeholders to drive these efficiencies. Reporting to the Invoicing Analyst, the Invoicing Specialist will be responsible to support DDI’s centralized invoicing initiative in both the US and Internationally. The successful candidate will have the ability to build relationships across different levels of the organization, will be a motivated individual with the ability to work independently, as part of a team, and under tight deadlines.
Responsibilities
- Responsible for the successful invoicing of items that meet DDI’s criteria for invoicing by their associated deadlines.
- Documents and notifies relevant parties of items that cannot be billed due to defined reasons.
- Seeks legal approvals as needed to facilitate efficient invoicing.
- Seeks additional items as needed from the appropriate entity at DDI.
- Utilizes trackers developed to facilitate or research items as deemed by management.
- Actively utilizes available tools to ensure a seamless client experience.
- Works to ensure month end and fiscal year closing objectives are met.
- Responsible for a defined Sales Team
- Responsible for additional invoice areas as assigned by the Invoicing Analyst and Supervisor.
- As analysis of workloads shows areas of inequity through the team, assignments may be adjusted as appropriate.
- A trusted resource that can use their experienced knowledge base to help propel invoicing into the future (Integrations, New processes, New Systems, Etc)
- Strives to keep their “at fault” error rate under 5% as determined by the internal control audit across a fiscal year.
Invoicing includes:
- Initiating and managing invoicing for specific projects or clients either in the US or Internationally
- Automatic invoicing of specific product usage based upon system reporting
- Reconciling deliverables and expenses
- Entering data for invoices, credit memos, adjustments, commitments, and client billing information
- Ensuring correct invoice coding and taxability
- Recording revenue recognition transactions
- Processing applicable credits or rebills
- Distributing invoices to client – using on-line client specific systems, email, or other methods outlined in the SOW.
- Serves as a primary contact for invoicing questions regarding their designated assignment
- Addresses complaints, problems, and invoicing questions/special requests as needed
- Cross-functional communication with Sales, Operations, and other areas at DDI with reference to invoicing needs and requirements
- Intercompany invoice entry for revenue recognition and intercompany chargebacks
- Enter part numbers for DDI Platform activation to facilitate client access. (Error Rate Expectation is less than 1% due to direct client impact)
