Description:

Hiring HR Legal Administrator (Government Relations)

Key Responsibilities:

  • Responsible for coordinating and liaising between the company and Government organizations/authorities and provide a key inter-face between the two
  • Coordinate between PROs and other HR staff for all issuance and renewals of contracts and agreements belonging to companies and/or staff members

Legal Compliance:

  • Stay up-to-date with relevant employment laws and regulations.
  • Ensure HR policies and procedures are in compliance with legal requirements.
  • Assist in drafting and reviewing employment contracts, confidentiality agreements, and other legal documents.
  • Provide guidance to HR staff and management on legal matters related to employment.

Document Management

  • Maintain and update employee records, contracts, and other legal documents.
  • Organize and manage legal documents and records in a systematic manner.
  • Ensure confidentiality and security of legal documents.

Administrative Support:

  • Assist in the preparation of legal correspondence, reports, and presentations.
  • Coordinate legal meetings and assist in preparing agendas and minutes.
  • Assist in legal research and document preparation as required.

Compliance Reporting:

  • Prepare and submit required compliance reports to regulatory authorities.
  • Assist in conducting internal audits to ensure compliance with legal requirements.

Collaboration:

  • Collaborate with HR, legal, and other departments to address legal concerns and provide support.
  • Work closely with legal counsel, if applicable, to handle legal matters effectively.
  • Track and arrange the work permit and visa stamp formalities for new hires in coordination with the PRO. Ensure the joining of new hire only after completing the legal compliance.
  • Answer questions from employees regarding legal transaction or process. Help them to overcome possible problems or difficulties.
  • Update employee master/profile with all relevant information of the new joiner.
  • Manage document retention and disposal processes in accordance with legal requirements.
  • Ensure all visas, medical and labor permits are up to date and arrange timely renewal.
  • Conduct document transactions between company and legal authorities.
  • Ensure PROs are equally given the tasks on daily basis and make sure the task is completed in a given timeline.

  • Identify opportunities for process improvement within the documentation function and contribute to enhancing HR operations.
