TechKnowledge GT LLC is urgently looking for an HR and Office Administration Executive to work in our Dubai Office
Job Duties:
- Maintain electronic and hard copy filing systems, perform data entry and scanning documents.
- Provide general administrative and clerical support including document production, word processing, and management of incoming and outgoing mail/courier, scanning documents and managing incoming and outgoing facsimiles.
- Field telephone calls and receive and direct visitors, offer snacks and drinks to guests
- Assist in managing, recording and overseeing company resources (including use of conference rooms, drivers, etc.) and expenditures.
- Maintain supplies and pantry inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; and verifying receipt of supplies.
- Assist HR in maintenance and management of employees by assisting in the recruiting, selecting, and orienting of employees.
- Assist HR in managing personnel files both internally and with government authorities (including the execution of residence visa applications/cancellations) and ensuring such files are up to date and secure; assist HR in the preparation of employment agreements
- (Employment contracts, training agreements, annual compensation letters, etc.); and assist HR in the management of employee relations/communications.
- Manage travel arrangements (both internal staff travel and supplier/publisher travel).
- Manage company petty cash, the use of company credit card and the reporting of expenses
- May need to visit government offices for renewals and attestations
- Prepare and coordinate agendas for all levels of meetings.
- Proactively administer and manage the calendar of the CEO and assure necessary pre-read materials for meetings and prep time. Extreme close coordination is required.
- Assure that the CEO is aware of time-sensitive matters, conflicts, or required actions.
- Prepare and organize internal presentation materials, meeting information and communications as required.
- Efficiently manage the signing of confidential contracts and agreements, post the review and approval from the Legal Counsel.
- Provide analysis, research, and development of data efficiently, and at times on short notice as requested.
- Complete projects, reports, or other tasks as assigned.
- Assist with personal and life management tasks as requested by the CEO from time to time, e.g. Monthly inter-account fund transfers for the CEO.
Requirements:
- Bachelor’s degree in Business Administration.
- HR diploma or equivalent.
- 6 or more years of general administrative assistant experience, including 3 years of HR administration experience are required.
- Proficiency in using HRIS
- Good Knowledge of Labor Law in countries of operating branches.
- Demonstrate a high level of communication skills verbal and written.
