Role Summary:
We are hiring a Warranty Administrator who will learn and apply warranty terms and processes to support builders, homeowners and internal stakeholders. The role requires clear communication, strong problem-solving, and the ability to handle escalated warranty disputes while delivering excellent customer service. This position offers an opportunity to manage a variety of warranty cases and grow within a collaborative team.
Core Responsibilities:
- Provide exceptional customer service to builders, homeowners and internal partners via phone and email.
- Review warranty terms and claims, advise parties on responsibilities, and explain contractual guidelines.
- Manage the warranty resolution process, gathering documentation, investigating facts, and facilitating conciliation between homeowners and builders/sellers.
- Prepare and submit claims to the warranty insurer after thorough review.
- Mediate and negotiate solutions for complex warranty disputes with professionalism and empathy.
- Document all case activity clearly and maintain comprehensive case files to meet audit and compliance requirements.
- Ensure SLAs are met by coordinating follow-ups and tracking progress with necessary parties.
- Draft written correspondence that explains Construction Performance Guidelines and contractual obligations.
- Support month-end and audit activities by providing AP/claims documentation and reconciliations as needed.
- Recommend process improvements to streamline warranty case handling and improve customer outcomes.
- Perform other duties as assigned.
Qualifications & Skills:
- 1–2 years of office or client-facing experience; prior exposure to warranty, insurance, claims, or construction dispute resolution is a plus.
- Strong critical thinking and negotiation skills with experience in resolving escalated situations.
- Comfortable multi-tasking and managing competing priorities in a fast-paced environment.
- Attention to detail and methodical approach to reviewing technical information and applying contractual terms.
- Excellent written and verbal communication; able to draft clear, professional correspondence.
- Proficient with Microsoft Word, Excel and Outlook.
- High school diploma required; Associate degree in Business preferred.
Compensation & Benefits:
- Hourly pay range: $17.00 – $19.00 (actual pay depends on experience, skills, and location).
