About the job
We’re looking for a part-time contractor (5-10 hours/week) to work directly with our COO.
You’ll touch everything from financial organization and vendor negotiations to AI tool research and process documentation. We looking for someone to jump in and start adding value immediately. You’ll learn our tooling and company while starting with task and project-based assignments, then evolve into anticipating needs and solving problems before they hit the COO’s radar.
This role requires serious autonomy, organization, and writing skills. You’ll work asynchronously, manage your own priorities, and figure things out without a lot of direction. The work ranges from small administrative tasks like monitoring email and creating spreadsheets to larger projects like creating documentation, building CRM dashboards, and implementing AI integrations.
Example reponsibilities
- Monitor email and virtual mail, handling routine responses and flagging urgent items
- Organize financial records, track expenses, and coordinate vendor payments
- Handle insurance paperwork, compliance documentation, and vendor communications
- Build and maintain team wikis, process documentation, and training materials
- Research and implement tool integrations that eliminate manual work
- Support hiring pipeline from candidate screening to interview coordination
- Research AI tools and automation opportunities, implementing pilots that show ROI
- Make proactive recommendations to reduce overhead and improve efficiency
- Organize and maintain our tooling ecosystem including Google Drive and ClickUp
- Handle whatever other operational needs pop up as they arise
You have
- Experience supporting executives or small teams in fast-moving, high-growth environments
- Excellent written communication skills for documentation, emails, and cross-team coordination
- Strong organizational skills with attention to detail and reliable follow-through
- Technical proficiency with business tools and ability to learn new platforms quickly
- Ability to work asynchronously across time zones with minimal oversight
- Comfort with figure it out assignments and changing priorities
- Proactive approach to follow-up, asking clarifying questions, and keeping projects moving
- Natural curiosity about how startup operations work and how to improve them
