Position Overview:
We are looking for a dependable and highly organized Virtual Administrative Assistant to join our remote team. The ideal candidate will be comfortable managing multiple priorities across departments, communicating professionally with stakeholders, and working independently with minimal oversight. This role supports senior staff and helps keep day-to-day operations running smoothly.

Job responsibilities:

  • Manage calendars and schedules for senior management, coordinating appointments and prioritizing meetings.
  • Coordinate virtual meetings — set up calls, prepare agendas, share materials, and follow up on action items.
  • Handle professional email correspondence and respond or route messages promptly.
  • Organize and maintain digital filing systems to ensure documents are easy to find and shared appropriately.
  • Assist in preparing reports and presentations and support ad-hoc documentation needs.
  • Conduct basic research and gather information as requested by team members.
  • Perform general administrative tasks including data entry, spreadsheet maintenance, and record keeping.
  • Support cross-team communication to help projects move forward efficiently.

Required qualifications:

  • Proven experience as an administrative assistant or in a similar remote support role.
  • Strong written and verbal communication skills with professional email and phone etiquette.
  • Excellent organizational abilities and capacity to manage multiple tasks simultaneously.
