Description:
Commonwealth Financial Network is seeking a highly organized and customer-focused Virtual Administration Specialist to join its remote Virtual Administration team. This position offers an excellent opportunity to support independent financial advisors by providing operational assistance, coordinating administrative processes, and delivering exceptional client service in a collaborative virtual environment.
The ideal candidate will possess strong organizational, communication, and problem-solving skills while managing multiple priorities across various systems. This role involves working closely with financial advisors and internal departments to facilitate account management, client support, documentation, and operational workflows that contribute to an outstanding advisor experience.
Key Responsibilities:
• Serve as the primary virtual operational contact for assigned advisor offices, providing administrative support and task ownership.
• Collaborate with internal departments to research, resolve, and communicate solutions for complex operational issues.
• Manage client information within the company’s CRM platform and generate reports for advisors.
• Prepare client meeting materials, reports, and workflow documentation.
• Submit money movement requests and coordinate with partner departments to resolve related issues.
• Monitor alerts, advisor action items, and respond promptly to time-sensitive requests.
• Build and maintain strong relationships by delivering exceptional customer service.
• Coordinate with sponsor companies to obtain required documentation.
• Open new accounts, process account updates, prepare documentation, and distribute electronic signature requests through the account opening platform.
• Maintain accurate records while ensuring compliance with company policies and operational procedures.
Requirements:
• At least two years of experience working in a financial advisory firm is preferred; other relevant experience will be considered.
• Excellent problem-solving skills with strong attention to detail.
• Strong written communication and documentation abilities.
• Excellent active listening and verbal communication skills.
• Ability to quickly learn new systems, processes, and procedures.
• Outstanding time management and organizational skills with the ability to manage multiple priorities.
• Ability to work effectively in a collaborative remote team environment.
• Proficiency in Microsoft Word, Excel, and Outlook.
• Bachelor’s degree in Business Administration, Finance, Accounting, Communications, or a related field is preferred.
