Description:
Commonwealth Financial Network is seeking a highly organized and service-oriented Virtual Administration Specialist to join our remote team. This role supports independent financial advisors by providing middle-office assistance, including document preparation, account management, client support, and CRM maintenance.

Key Responsibilities:

  • Serve as a virtual point of contact for advisors’ offices, taking ownership of tasks and coordinating with other Commonwealth departments
  • Collaborate with internal operational teams to research and resolve complex issues
  • Manage client data within Commonwealth’s CRM, prepare reports, assist in client meetings, and develop workflow procedures
  • Submit money movement requests and coordinate with partner departments to resolve issues
  • Monitor alerts and advisor action items, responding proactively to time-sensitive requests
  • Build strong relationships by delivering exceptional customer service
  • Coordinate with Sponsor Companies to obtain required documents
  • Use the account opening platform to open/update accounts, prepare documents, and send DocuSign documents to clients
